Administrative Coordinator - Bemidji

Service Management Group (SMG) provides employee and billing services to Home Care Agencies including PCA Choice Agencies. PCA is a program that is designed for those individuals who have qualified for Medicaid PCA Services and have the ability and desire to recruit, hire, train and schedule their PCA, or have another person who will be responsible for these tasks.

SMG is seeking Administrative personnel to assist in our Bemidji Office

Essential Functions
Duties would include but not limited to:

  • Assist families, counties and employees who call/walk into office to navigate their services
  • Schedule intake, regular and annual home visits with families
  • Maintains all Home Health records, logs, and medical information as needed
  • Communicate with counties, families and health programs on a daily basis in an effort to coordinate services
  • Review Service Agreements for accuracy with start dates
  • Maintain program required documentation
  • Coordinate service delivery and accommodation with other members of the Accra team, including Qualified Professionals, HR staff and others

Qualifications

  • 1 year experience working with individuals having developmental disabilities; 2 year degree preferred but not required.
  • Experience working with Waivered Services and/or PCA is a plus
  • Maintain excellent communication with families, counties and state agencies
  • Advanced communication skills both written and oral
  • Ability to organize and prioritize
  • Ability to handle numerous tasks simultaneously while maintaining strong attention to detail
  • Maintain a high standard of professional courtesy, flexibility, confidentiality while working in a fast paced office environment, independently and as a team member.
  • Advanced skills in the use of office technology, including MS Office Suite with advanced skills in Word Excel and Outlook

FMS Accountant

Accra is a 501.c.3 non-profit home health care organization. Service Management Group (SMG) is the administrative company of Accra which provides administrative, payroll and related services to an employee group of more than 4500 individuals including a Fiscal Management Support (FMS) Agency. A FMS agency provides fiscal support to individual and families who qualify for Medical Assistance through the State of MN. Fiscal support includes budgeting, reviewing and approving timecards and expenses, and filing the necessary paperwork with the IRS or State of MN.

Essential Functions
Duties would include but not limited to:

  • Assist families to maintain fiscal responsibility
  • Process expenses within established program rules and budget guidelines
  • Maintain vendor file by obtaining and processing W-9s and OIG verifications
  • File F/EA paperwork for participant employer by applying for EIN from IRS, registering with MN DOR, and filing authorization forms with tax agencies
  • Enter employee pay rates and applicable F/EA tax exemptions, and process W-4s
  • Assist in Quarterly Tax and State Unemployment reporting
  • Assist in Workers’ Comp reporting and audits
  • Maintain program required documentation
  • Communicate with staff, families, vendors, and state agencies
  • Review payroll and expenses against client budgets
  • Review and process client service authorizations
  • Purchase goods, supplies and/or services for clients as requested

Qualifications

  • Bachelor’s degree in Accounting, Finance or Business or equivalent years of experience; three to five years of on-the- job experience in a related field is a plus
  • Must be familiar with basic accounting practices and principles
  • Proficient skills in the use of office technology, including MS Office applications with advanced skills in Excel; knowledge and use of accounting software is a plus
  • Experience working with Waivered Services and/or knowledge of CDCS and CSG programs is a plus
  • Ability to prioritize and handle numerous tasks independently and as a team with little supervision
  • Possess effective communication skills, both written and oral
  • Demonstrate superior attention to detail with strong analytical, problem solving, and critical thinking skills
  • Must pass a background check with the Minnesota Department of Human Services.

Payroll Services Communications Specialist

Accra is a non-profit organization offering the best in personalized, self-directed home care. Accra provides employee, client, and billing services for various programs including Personal Care Assistance (PCA) Choice, Fiscal Support Entity (FSE) and Home Health Agencies. We are located in Hopkins and offer services in all of Minnesota’s 87 counties including offices in Hopkins, Alexandria, Red Wing, Fergus Falls, Moorhead, Winona, Lake City, Duluth, Grand Rapids, Bemidji, and Brainerd. Accra is seeking an individual to join our Payroll Services Department. Our Payroll Services Department is high volume and fast paced with the processing of over 7,000 timecards every two weeks.

Essential Functions
Duties would include but not limited to:

  • Processing bi-weekly employee timecards
  • Communications with Employees regarding their time cards and follow up of time cards in need of clarification for timely payment
  • Processing miscellaneous payroll paperwork as needed

Qualifications

  • Must have a High school diploma or equivalent.
  • Skilled and experienced with processing large amounts of data.
  • Ability to learn quickly and adapt to rapidly changing environment.
  • Advanced skills in the use of office technology, including MS Office Suite.

Onboarding Specialist (Travel Required)

Accra is seeking an individual to represent the PCA Choice program services in our Hopkins location.

Essential Functions
Duties would include but not limited to:

  • Promote Accra’s Stat Start Service by assisting customers and applicants with the application process, conducting background checks and capturing fingerprints in applicant’s homes.
  • Submit application and employee documentation to Human Resources in a timely manner.
  • Answer application and Human Resource related questions for customers in person or via phone and email providing excellent customer service.
  • Work collaboratively with (office) HR Department on application status’s while in the field
  • (In Office) Complete the NetStudy 2.0 Fingerprinting process, and support HR department as needed

Home Health Aide in Red Wing

Provides personal care services under the direction of the RN Case Manager or Therapist. The Home Health Aide is assigned to specific clients by the RN Case Manager or other appropriate professional and performs services for clients as necessary to maintain their personal comfort. Reports to RN Case Manager.

Essential Functions
Duties would include but not limited to:

  • Performs simple procedures as an extension of therapy services under the direction and supervision of the therapist.
  • Range of motion exercises.
  • Assistance in ambulation or exercises.
  • Performs personal care activities, including but not limited to:
  • Bathing
    • Shampooing
    • Skin care/nail care
    • Oral hygiene
    • Shaving
    • Dressing
  • Performs household services essential to health care at home, including but not limited to:
  • Meal preparation/feeding
    • Laundry
    • Light housekeeping
  • Assists in the administration of medications that are ordinarily self-administered under the direction and supervision of the RN Case Manager (per state nurse practice laws and agency policy).
  • Reports any observed or reported changes in the client’s condition and/or needs to the RN Case Manager.
  • Documents cares provided and completes the forms required for the client’s records. Completes the appropriate records to document cares given and pertinent observations.
  • Promotes personal safety and a safe environment for clients by observing infection control practices, following agency guidelines, and reporting unsafe situations to the RN Case Manager.
  • Demonstrates safe practice in the use of equipment. Does not use equipment until orientation has been provided. Notifies supervisor of educational needs.
  • Communicates effectively with all members of the interdisciplinary team through verbal reports, participation in staff meetings and team conferences, as requested.
  • Maintains confidentiality in all aspects of the job.
  • Participates in required inservice programs to meet compliance requirements. Identifies learning needs to agency supervisor.
  • Performs other related duties and responsibilities as deemed necessary.

Qualifications

  • Successful completion of a formal certification training program and/or a written skills assessment test and competency evaluation.
  • Be at least eighteen (18) years of age.
  • Desired to have six (6) months’ work experience in a supervised setting, preferably health care facility.
  • Demonstrated ability to read, write and follow a written Plan of Care.
  • Good interpersonal skills.
  • Current driver’s license, good driving record and reliable transportation.
